How to handle check-in for unregistered attendees

The Event Check-In feature in Cadence allows you to track attendance for registered participants, but occasionally you may need to check in someone who hasn't formally registered through the system. This guide explains how to handle on-site registrations and check-ins for attendees who aren't already in your event's attendee list.

When to use

  • When walk-in attendees arrive at your event without pre-registering
  • When you need to add and check in last-minute participants
  • When handling on-site guest additions for existing attendees
  • When managing unexpected VIPs or speakers who need immediate access

Before you start

You must have Admin, Event Manager, or Event Scheduler permissions to add unregistered attendees and check them in.

How to do it

    Log in to your Cadence account.
    Navigate to your event dashboard.
    Select "People" from the left sidebar menu.
    Click "Attendees" in the submenu.
    Click the "+ Add Attendee" button at the top of the attendee list.
For faster processing at busy registration desks, have the attendee's email address ready before starting this process.
    Enter the required information for the new attendee:
  • Email address
  • First name
  • Last name
  • Company (if required)
  • Attendee type (Internal Attendee or Customer/HCP)
    Select "Add as Attendee" from the dropdown options.
This automatically registers them for the event without requiring them to complete the registration form.
    Click "Save" to add the attendee to your event.
    Locate the newly added attendee in the attendee list.
    Click the check-in button next to their name to mark them as checked in.
If using per-day check-in, make sure to select the correct day when checking in the attendee.
    Verify that the attendee now shows as "Checked In" with a green indicator.
    Consider adding any guests accompanying the attendee if guest check-in is enabled.
If the attendee has guests, click on their name to access their profile, then add and check in guests from there.

Troubleshooting

If you cannot add a new attendee:
  • Verify that you have the proper permissions for the event
  • Check if the event has reached its maximum capacity (if capacity limits are enabled)
  • Ensure the email address isn't already associated with an existing attendee
If the check-in button doesn't appear for a newly added attendee:
  • Refresh the page to ensure the system has fully processed the addition
  • Verify that Event Check-In is enabled in your event settings
