How to set up fixed appointment durations for rooms
Set Up Fixed Appointment Durations for Rooms
Setting up fixed appointment durations in Cadence allows you to standardize meeting lengths for specific rooms, ensuring consistent scheduling and maximizing room utilization. Through the Rooms Menu › Settings section, you can configure rooms to only allow appointments of specific durations (15, 30, 45, or 60 minutes), which helps maintain scheduling efficiency and prevents irregular booking times that might disrupt your event's flow.
When to use
When standardizing meeting lengths for specific purposes (massages, consultations, interviews)
When maximizing the number of possible appointments in high-demand rooms
When ensuring consistent time slots for logistical planning
When different rooms require different fixed durations based on their function
You must have System Administrator or Event Manager permissions to configure fixed appointment durations. Rooms must have appointment configuration enabled before setting fixed durations.
How to do it
Log in to your Cadence Admin account.
Navigate to your event dashboard.
Click on "Event Setup" in the left sidebar menu.
Select "Rooms" from the dropdown menu.
Click on an existing room or create a new one using the "+" button.
Scroll down to the "Appointment Configuration" section.
Toggle "Enable Appointment Configuration" to ON.
Rooms with Appointment Configurations enabled cannot be selected for schedule items. They will only appear in the appointment booking interface.
Click "Add Date/Time Availability" if you haven't already set up availability for this room.
Set the room's availability dates and times.
Toggle "Enable Fixed Appointment Duration" to ON.
Fixed durations work best for rooms with specific purposes, such as massage rooms (30 minutes), consultation rooms (15 minutes), or meeting rooms (60 minutes).
Select the allowed durations by checking the boxes next to your desired options:
15 minutes
30 minutes
45 minutes
60 minutes
Choose multiple durations if you want to offer flexibility while still maintaining standardized time slots.
If you select multiple durations, users will only be able to choose from these specific options when booking the room.
Click "Save" to apply your fixed duration settings.
Return to the Rooms list to verify your room now displays the fixed duration indicator.
Troubleshooting
If appointments are still being created with non-standard durations:
Verify that the "Enable Fixed Appointment Duration" toggle is ON
Check that you've selected at least one duration option
Ensure that users are booking through the standard appointment interface, not through bulk imports
