Set Up Automatic Appointment Confirmation

The Automatic Appointment Confirmation feature in Cadence streamlines the appointment workflow by automatically confirming appointments when specific conditions are met. Through the Appointments Menu › Settings section, you can enable this time-saving option that eliminates the need for manual confirmation when no customers are included as attendees and a date and time have been set.

When to use

  • When scheduling internal team meetings that don't require customer approval
  • When you want to reduce manual confirmation steps for staff-only appointments
  • When streamlining the appointment creation process for event organizers
  • When configuring company-specific appointment confirmation settings

Before you start

You must have System Administrator or Event Manager permissions to modify automatic appointment confirmation settings.

How to do it

    Log in to your Cadence account.
    Navigate to your event dashboard.
    Click on "Appointments" in the left sidebar menu.
    Select "Settings" from the dropdown menu.
    Scroll down to the appointment confirmation section.
Look for the "Automatic Appointment Confirmation" checkbox in the settings list.
    Toggle on the "Automatic Appointment Confirmation" option.
The help text will confirm that this will "auto-confirm appointments IF no customers are included as attendees and date & time are set for an appointment."
    Click "Save" to apply your changes.
Changes to appointment confirmation settings will affect all new appointments created after this point.
    Configure company-specific settings (optional).
If you need different confirmation settings for specific companies, navigate to Admin → Companies → select a company → Options → enable "Override Automatic Appointment Confirmation" and choose your preferred setting.
    Test the automatic confirmation by creating a new appointment with only internal attendees and a set date/time.
    Verify that the appointment status changes to "Confirmed" automatically upon saving.

Troubleshooting

If appointments aren't automatically confirming:
  • Verify that no customers are included as attendees
  • Ensure that both date and time fields are completed
  • Check that the company settings aren't overriding the global setting
  • Confirm that you've saved the settings changes
