How to set up appointment reporting

Appointment reporting in Cadence provides insights into meeting activities across your event. From the Appointments menu, you can configure and generate various reports to track appointment statuses, attendee participation, and other key metrics to help manage your event more effectively.

When to use

  • When tracking appointment statuses across your event
  • When analyzing attendee participation patterns
  • When generating reports for stakeholders
  • When monitoring room utilization

Before you start

You must have System Administrator or Event Manager permissions to access reporting features. Some report types may only be available with Premium or Enterprise license types.

How to do it

    Navigate to the Appointments section in your event dashboard.
    Click on "Reports" in the submenu or select "Reports" from the main admin navigation.
If you're in the admin view, you can access more comprehensive reporting options than in the web view.
    Select the type of appointment report you want to generate:
  • Appointment Status Report
  • Attendance Status Report
  • Invite Requested Report
  • Custom Fields Report
    Configure the report parameters by selecting filters such as:
  • Date range
  • Appointment status
  • Organizer
  • Location
  • Custom fields
    Choose the output format for your report (Excel, CSV, or on-screen view).
Excel reports provide additional formatting and may include multiple tabs for different data views.
    Set up automated report delivery if needed:
  • Click "Schedule Report"
  • Select recipients
  • Choose frequency (daily, weekly, monthly)
  • Set delivery time
    Click "Generate Report" to create an immediate report or "Save Schedule" for recurring reports.
Large reports with many appointments may take several minutes to generate.
    Review your report data and download or share as needed.

Troubleshooting

If your report fails to generate:
  • Verify you have the correct permissions
  • Check that you've selected valid filter combinations
  • For large events, try narrowing your date range or adding more filters
  • If scheduling automated reports, ensure recipient email addresses are correct
