Scheduling appointments with specific dates and times in Cadence allows you to organize meetings with attendees at your event. Through the Appointments menu, you can create structured meetings with defined timeframes, ensuring all participants know exactly when to attend and allowing you to reserve appropriate meeting spaces.

When to use

  • When scheduling meetings with specific customers or colleagues
  • When you need to reserve meeting rooms for a particular time slot
  • When organizing time-sensitive discussions during an event
  • When you want to send calendar invitations with exact timing details

Before you start

You must have System Administrator, Event Manager, or Event Scheduler permissions to create appointments. Required fields are marked with an asterisk (*).

How to do it

    Navigate to the Appointments section in your event dashboard.
    Click the "Add" button in the top-right corner of the screen.
    Enter a name for your appointment in the "Appointment Name" field.
Include the purpose and key attendee names in the appointment title for easy identification.
    Select a date using the date picker in the Date field.
    Choose a start time from the time dropdown menu.
    Set the duration for your appointment from the available options.
Standard durations include 15, 30, and 60 minutes, but custom durations may be available depending on your event settings.
    Select a location by choosing from available rooms or entering a custom location.
Verify room availability for your chosen time slot to avoid scheduling conflicts.
    Add attendees by typing names or email addresses in the "People" field.
You can designate attendees as "Required" by clicking the star icon next to their name.
    Set the appointment status to "Proposed," "Pending," or "Confirmed" based on your scheduling stage.
    Toggle "Send Emails" on if you want attendees to receive email invitations.
    Review the email preview if sending emails and make any necessary adjustments to the subject or body.
    Click "Save" to create your appointment with the specified date and time.
If you enabled "Send Emails," invitations will be sent immediately after saving.

Troubleshooting

If you cannot select a specific date or time:
  • Check if the date falls within your event's scheduled dates
  • Verify that the room you selected is available during that time slot
  • Ensure you have the necessary permissions to schedule appointments
