How to override Event Calendar Invite Description

Override Event Calendar Invite Description

The Registration Menu in Cadence allows you to customize the description that appears in calendar invites when attendees add your event to their calendars. Through the Registration Menu › Settings section, you can override the default calendar invite description with custom text that better represents your event or provides specific instructions to attendees.

When to use

  • When you need to provide specific instructions in calendar invites
  • When the default calendar description doesn't adequately represent your event
  • When you want to include important event details directly in attendees' calendars
  • When you need to standardize calendar information across multiple events

Before you start

You must have System Administrator or Event Manager permissions to modify registration settings.

How to do it

    Log in to your Cadence Admin account.
    Navigate to your event dashboard.
    Click on "People" in the left sidebar menu.
    Select "Registration" from the submenu that appears.
    Click on the "Settings" tab at the top of the page.
    Scroll down to the "Override Event Calendar Invite Description" option.
    Check the box to enable this feature.
When enabled, a text editor will appear below the checkbox.
    Enter your custom calendar invite description in the text field that appears.
Keep your description concise but informative. Include essential details like event purpose, what to bring, or special instructions.
    Format your text as needed using the available formatting tools.
    Include any relevant attributes or merge fields if needed.
The hardcoded event details (like date, time, and location) will still appear in the calendar invite regardless of your custom description.
    Click "Save" at the bottom of the page to apply your changes.

Troubleshooting

If your custom description isn't appearing in calendar invites, verify that the "Override Event Calendar Invite Description" option is checked and that you've saved your changes. Also ensure that registration confirmation emails are enabled, as these contain the calendar invite attachments.
