How to handle duplicate lead records

When managing leads in Cadence, you may encounter duplicate records that need to be merged or removed to maintain data accuracy. Duplicate leads can occur during badge scanning, manual entry, or when importing lead data. This guide will help you identify and resolve duplicate lead records through the Leads Menu › Edit section.

Before you start

You must have Admin or Event Manager permissions to manage duplicate leads. The "Create Leads" option can only be modified by System Administrators.

How to do it

    Navigate to your event dashboard in Cadence.
    Select "Leads" from the left sidebar navigation.
    Click on "All Leads" to view your complete leads list.
    Use the search function to find potential duplicates by name or email.
    Sort the list by name, company, or email to identify similar records.
    Review each suspected duplicate by comparing key identifiers.
Look for slight variations in spelling, email domains, or company names that might indicate the same person.
    Select the lead record you want to keep as the primary record.
    Click on the "Actions" dropdown menu for that lead.
    Choose "Merge Lead" from the dropdown options.
    Search for the duplicate lead you want to merge with the primary record.
    Select the duplicate lead from the search results.
Once leads are merged, the duplicate record will be permanently removed and cannot be recovered.
    Review the merge preview showing which data will be retained.
    Confirm the merge by clicking "Merge Leads".
    Verify the merged lead now contains all relevant information from both records.

Troubleshooting

If the merge option is not available:
  • Verify you have the required permissions
  • Check if the leads are from different lead sources
  • Ensure the lead scanning feature is properly configured in your event settings
