How to send appointment invitations

The Appointments menu in Cadence allows you to send professional meeting invitations directly to attendees. When you create or edit an appointment, you can enable email notifications that automatically send calendar invites with meeting details to all participants, eliminating the need to manually coordinate schedules or send separate emails.

When to use

  • When scheduling new meetings with customers or internal attendees
  • When finalizing appointment details after collecting availability
  • When you need to resend invitations to attendees who haven't responded
  • When updating existing appointments with new information
You must have System Administrator, Event Manager, or Event Scheduler permissions to send appointment invitations.

How to do it

    Select an existing appointment or create a new one.
    Locate the "Email Settings" section in the appointment form.
    Toggle on the "Send Invites" option.
For new appointments, this option is typically enabled by default. For existing appointments, you may need to explicitly enable it.
    Review the "Send Updates & Reminders" option and enable if desired.
When enabled, attendees will automatically receive notifications about any changes to the appointment details.
    Complete all required appointment fields marked with an asterisk (*).
Invitations cannot be sent if required fields are incomplete or if the appointment date is in the past.
    Add attendees by clicking the "+" icon in the People section and searching for their name or email.
    Select whether each attendee is "Required" or "Optional" from the dropdown menu.
    Click "Save" to create or update the appointment.
If "Send Invites" is enabled, invitation emails will be sent automatically when you save.
    Confirm the invitation was sent by checking the appointment details page, which will show the date and time invitations were sent.

Troubleshooting

If invitations are not being sent:
  • Verify the appointment date is not in the past
  • Check that all required fields are completed
  • Ensure attendees have valid email addresses
  • Confirm you have sufficient permissions to send invitations
  • For multiple customers, note that the reschedule option may be automatically disabled
