Use Cadence Services Info for Event Planning

The Cadence Services Info menu provides essential configuration options that help coordinate support services for your event. Located in the Event Setup section under Cadence Services Info › Info, this interface allows you to plan and document critical service requirements including logistics support, hardware needs, and support types, ensuring proper resource allocation throughout your event lifecycle.

When to use

  • When planning service requirements for a new event
  • When coordinating between virtual and onsite support teams
  • When updating logistics or hardware needs as event plans evolve
  • When linking HubSpot deal information for tracking purposes

Before you start

You must have System Administrator or Event Manager permissions to access and modify Cadence Services Info settings. Required fields are marked with an asterisk (*).

How to do it

    Log in to your Cadence Admin account.
    Navigate to your event dashboard.
    Click on "Event Setup" in the left sidebar menu.
    Select "Cadence Services Info" from the submenu that appears.
    Enter the HubSpot Deal Link URL if you want to connect your event to a specific HubSpot deal.
Adding a HubSpot deal link creates a direct connection between your event and its business record for easier reference.
    Select a Concierge User ID if your event requires dedicated concierge support.
    Choose whether logistics support is required by selecting "Yes," "No," or "TBD" from the Enable Logistics dropdown.
When "Yes" is selected, the Logistics User ID field becomes available for assignment.
    Enter a Logistics User ID if you selected "Yes" for Enable Logistics.
Choose someone familiar with both the event requirements and available resources for the most effective logistics coordination.
    Specify whether hardware is required for your event from the "Hardware Required" dropdown.
Ensure hardware requirements are specified at least 2 weeks before the event to allow for proper preparation.
    Select the appropriate option from the "Onsite Services Type" dropdown to indicate what kind of support is needed:
  • TBD: Indicates the service type is still being determined
  • Virtual: For events that will only have virtual support
  • Onsite: For events that require in-person support only
  • Virtual and Onsite: For hybrid events requiring both types of support
  • None: For events that don't require any support services
    Add any relevant contract information or special instructions in the "Seminar Contract" field.
    Click "Save" to apply your changes.
    Verify the assigned logistics user has received notification of their assignment.
    Schedule a coordination meeting with the logistics user to review requirements.
    Document specific responsibilities and expectations for the logistics coordinator.

Troubleshooting

If you cannot access or save changes to the Cadence Services Info menu:
  • Verify that you have the proper permissions (System Administrator or Event Manager)
  • Ensure all required fields are completed
  • Check that your event is in an editable state (not archived or locked)
