Handle Appointment Conflicts

When scheduling appointments in Cadence, conflicts can occur when attendees are already booked for other meetings or events at the same time. The Appointments Menu provides tools to identify and resolve these conflicts, ensuring everyone can attend without double-booking. Properly managing conflicts helps maintain scheduling integrity and improves the overall event experience.

When to use

  • When scheduling new appointments with multiple attendees
  • When adding people to existing appointments
  • When rescheduling appointments to accommodate everyone's availability
  • When you need to ensure customers aren't double-booked

Before you start

You must have Event Manager, Event Scheduler, or System Administrator permissions to resolve scheduling conflicts.

How to do it

    Navigate to the Appointments section in your Cadence dashboard.
    Select an existing appointment or click "New Appointment" to create one.
    Add the date and time for your appointment in the appropriate fields.
    Click the + icon in the People section to add attendees.
Add both internal team members and external customers before checking for conflicts to see everyone's availability at once.
    Review the conflict indicators that appear next to each person's name.
Red indicators show hard conflicts (the person is already booked), while yellow indicators show soft conflicts (tentative commitments).
    Click on the conflict indicator to view details about the conflicting appointment or schedule item.
    Open the scheduling assistant by clicking "View Availability" to find alternative times.
    Select a different time slot where fewer or no conflicts exist.
Adding a customer with a hard conflict will prevent you from saving the appointment until you resolve the conflict.
    Consider removing conflicted attendees if you cannot find a suitable alternative time.
    Click "Save" to confirm your changes once all conflicts are resolved.

Troubleshooting

  • If you cannot resolve a hard conflict with a customer, you must select a different time or date for the appointment
  • If the scheduling assistant shows conflicts but you know the person is available, ask them to check their calendar for outdated entries
  • If you're unable to see conflict details, ensure you have the proper permissions for viewing other appointments
