Adding resources to appointments in Cadence allows you to share important files and links with meeting attendees. You can attach PDFs, presentations, documents, spreadsheets, or website links that provide context or materials for discussion during the appointment. These resources can be made available to all attendees or restricted to specific groups, and can even be included in calendar invitations.
When to use
When sharing meeting agendas with attendees
When providing background materials for discussion
When distributing customer profiles or bios to internal team members
When sharing presentation materials before or after meetings
Before you start
You must have System Administrator, Event Manager, Event Scheduler, or Appointment Organizer permissions to add resources to appointments.
How to do it
Navigate to your event dashboard in Cadence.
Select "Appointments" from the left sidebar menu.
Open an existing appointment or create a new one.
Locate the "Resources" section on the appointment details page.
Click the "+" button to add a new resource.
Select the resource type from the dropdown menu:
PDF
Website
Document (DOC/DOCX)
Presentation (PPT/PPTX)
Spreadsheet (XLS/XLSX)
Cadence supports PDF, Word documents, PowerPoint presentations, Excel spreadsheets, and image files.
Enter a name for the resource in the "Name" field.
Upload your file or enter the website URL depending on the resource type selected.
Toggle "Make Public" if you want the resource to be visible to all event attendees.
By default, resources are private and restricted to invited internal appointment attendees only. Admins, event managers, organizers, and schedulers will always have visibility.
Toggle "Send Material With Invite" if you want to include the resource in appointment invitation emails.
When sending materials with invites, you can specify who receives them: All Attendees, Customers Only, or Internal Attendees Only.
Click "Save" to add the resource to the appointment.
There is a file size limit for resources that can be sent with invites. If your file is too large, you may need to compress it or share it as a link instead.
Troubleshooting
If you encounter issues with appointment resources:
Check the file format of any problematic resources.
Verify the file size of your resources.
Remove corrupted resources by clicking the trash icon next to the resource name.
Upload a new version of the resource by clicking "Add Resource."
