How to configure room display on invitations

Configure Room Display on Invitations

The Rooms menu in Cadence allows you to customize how room information appears on calendar invitations sent to attendees. Through the Rooms Menu › Settings section, you can configure the display name that appears on invitations, which may differ from the internal room name used for organization and management purposes within your event.

When to use

  • When room names need to be more descriptive on calendar invitations
  • When you want to include additional location details for attendees
  • When standardizing how meeting locations appear across all invitations
  • When room names contain internal codes or abbreviations not relevant to attendees

Before you start

You must have System Administrator or Event Manager permissions to configure room display settings. Required fields are marked with an asterisk (*).

How to do it

    Log in to your Cadence Admin account.
    Navigate to your event dashboard.
    Click on "Event Setup" in the left sidebar menu.
    Select "Rooms" from the dropdown menu.
    Click on an existing room or create a new one using the "+" button.
    Locate the "Name on Invites" field in the room details form.
If the internal room name contains codes or abbreviations, use a more descriptive name for invitations that helps attendees locate the room easily.
    Enter the text you want to appear on calendar invitations.
This name will replace the standard room name in all appointment invitations sent to attendees.
    Consider including additional helpful information such as building name, floor, or nearby landmarks.
If the text is too long, it may be truncated in some calendar applications. Keep the name concise while still being descriptive.
    Click "Save" to apply your changes.
    Repeat for other rooms that need custom invitation display names.
    Test the display by creating a sample appointment and reviewing the invitation preview.

Troubleshooting

If room names are not displaying correctly on invitations:
  • Verify that you've saved your changes after updating the "Name on Invites" field
  • Check that appointment emails are enabled for the event
  • Ensure the room is properly selected when creating appointments
