When plans change, you can reschedule existing appointments in Cadence to update the date, time, and location while maintaining all other appointment details. Rescheduling sends notifications to all participants and updates their calendar invitations automatically.
When to use
When a customer requests a different meeting time
When you need to resolve scheduling conflicts
When room availability changes
When the organizer's schedule changes
Only appointment organizers and schedulers can reschedule appointments.
How to do it
Navigate to the Appointments section in your event dashboard.
Locate the appointment you want to reschedule by using search or filters.
Click on the appointment name to open its details page.
Select the "Edit" button in the upper right corner of the appointment details page.
You can also access the edit option from the list view by clicking the three dots (actions menu) next to an appointment and selecting "Edit".
Update the date and time fields with the new schedule information.
Changing the date or time will trigger update notifications to all participants unless the "Send Updates" option is disabled.
Verify room availability for the new time slot if using a room location.
The previously assigned room may not be available at the new time and will need to be reassigned.
Check the "Send Updates & Reminders" toggle to ensure participants receive notifications.
Review the email preview to confirm the update message is appropriate.
Click "Save" to apply your changes and send notifications.
Troubleshooting
If you're unable to reschedule an appointment, check the following:
The appointment may appear to be in the past due to time zone settings, even if it's a few hours away
Appointments with multiple customers automatically have the reschedule option disabled
The "Send Updates & Reminders" toggle must be enabled to send notifications about the change
