Configure Food & Beverage (F&B) Options for Rooms

The Rooms menu in Cadence allows you to specify food and beverage options available in each meeting space at your event. Through the Rooms Menu › Settings section, you can add F&B details such as coffee stations, light snacks, soft drinks, and water stations to help attendees and organizers select appropriate rooms for meetings that require refreshments.

When to use

  • When rooms at your venue offer different food and beverage services
  • When you want attendees to filter rooms by available refreshment options
  • When planning meetings that require specific catering options
  • When organizing food service logistics across multiple meeting spaces

Before you start

You must have System Administrator or Event Manager permissions to configure room F&B options. The Food & Beverage feature must be enabled for your event.

How to do it

    Log in to your Cadence Admin account.
    Navigate to your event dashboard.
    Click on "Event Setup" in the left sidebar menu.
    Select "Rooms" from the dropdown menu.
    Click on an existing room or create a new one using the "+" button.
    Scroll down to find the "Food & Beverage" section in the room details form.
If you don't see the Food & Beverage section, check with your System Administrator to ensure this feature is enabled for your event.
    Click the "+" icon next to Food & Beverage to add options.
    Select from the default suggested options:
  • Coffee Station
  • Light Snacks
  • Soft Drinks
  • Water Station
You can also add custom F&B options by typing them directly in the field.
    Add multiple options if the room offers various refreshment services.
    Click "Save" to apply your changes to the room.
    Repeat for other rooms that offer food and beverage services.
Use consistent F&B descriptions across similar rooms to make filtering more effective.
    Verify that the F&B icon appears next to the room in the Location Availability view.
When users hover over the F&B icon in the appointment booking interface, they will see all the food and beverage options you've added.

Troubleshooting

If the F&B options don't appear in the Location Availability filters:
  • Ensure you've saved your room configuration changes
  • Check that at least one room has F&B options configured
  • Verify that the Food & Beverage filter has been added to the refine options
