Create Appointment via .ICS File
Import appointment information quickly by uploading calendar invitations from your email client. This feature in the Appointments menu automatically extracts details including title, location, date, time, organizer, and attendees, saving you time when setting up meetings in Cadence.
When to use
When transferring meetings from external systems into Cadence
When you've already created a meeting in Outlook or another calendar application
For setting up ancillary meetings that were originally scheduled outside Cadence
Before you start
You must have System Administrator, Event Manager, or Event Scheduler permissions to create appointments. This feature works with standard .ICS files from most email clients including Outlook, Gmail, and Apple Calendar.
How to do it
Navigate to the Appointments section in your Cadence event.
Click the plus (+) button to create a new appointment.
Look for the "Import from ICS" option on the appointment creation form.
Select the .ICS file from your computer when prompted.
Review the imported information which should include:
Appointment title
Location
Organizer
Duration
Date and time
Attendees
The system will attempt to match attendee emails with existing Cadence users. Unmatched emails may require manual verification.
Add any additional information not included in the import, such as appointment custom fields.
Verify the appointment settings, including whether to send invites to attendees.
Click "Save" to create the appointment with the imported information.
Troubleshooting
If your .ICS file fails to import properly:
Ensure the file is a valid .ICS format
Check that the file isn't corrupted
Verify the file contains the necessary appointment details
