Ensure Appointments Are Scheduled Within Event Dates

The Appointments feature in Cadence requires that all meetings fall within your event's active dates to maintain scheduling integrity. Through the Appointments Menu › Settings section, you can configure time restrictions and date parameters that prevent users from scheduling appointments outside the event timeframe, ensuring all meetings align with your event's official schedule.

  • When setting up appointment scheduling parameters for your event
  • When preventing users from booking meetings outside event dates
  • When configuring time restrictions for last-minute scheduling
  • When managing appointment availability for multi-day events

Before you start

You must have System Administrator or Event Manager permissions to configure appointment date restrictions. Your event must have defined start and end dates in the Event Details section.

How to do it

    Navigate to your event dashboard in Cadence.
    Click on "Appointments" in the left sidebar menu.
    Select "Settings" from the dropdown menu.
    Locate the "Ask Customer" settings section.
    Set the default date range by entering values in the "Start Date" and "End Date" fields.
Always set these dates to fall within your event's official start and end dates to prevent scheduling conflicts.
    Configure the "Ask-Customer Schedule Time Restriction" option.
Without time restrictions, attendees may schedule appointments too close to the event start time, creating logistical challenges.
    Enter the time restriction value in the field that appears.
    Select "Hours" or "Days" from the dropdown to define the restriction unit.
    Review the "Maximum Appointment Duration" setting to ensure appointments don't extend beyond event dates.
    Click "Save" to apply your settings.

Troubleshooting

If appointments cannot be scheduled despite being within event dates:
  • Verify the event's actual start and end dates in Event Details
  • Check if the room you selected has restricted availability hours
  • Ensure the appointment doesn't extend beyond midnight on the event's final day
  • Confirm your timezone settings match the event's timezone
