How to set registration close dates and times

Set Registration Close Dates and Times

The Registration Form in Cadence allows you to set specific dates and times when registration for schedule items will automatically close. Through the Registration Menu › Form section, you can configure these settings to control when attendees can no longer register for specific sessions, helping you manage attendance and preparation for your event activities.

When to use

  • When hosting in-person events that require advance preparation based on attendee counts
  • When you need to close registration for schedule items before the event date
  • When managing catering, materials, or staffing that requires finalized attendance numbers
  • When you want to automate the closing of registration without manual intervention

Before you start

You must have System Administrator or Event Manager permissions to modify registration settings.

How to do it

    Log in to your Cadence Admin account.
    Navigate to your event dashboard.
    Click on "People" in the left sidebar menu.
    Select "Registration" from the submenu that appears.
    Click on the "Form" tab at the top of the page.
    Toggle "Enable Registration Form" to turn on the registration form feature.
Disabling this setting will remove the registration form from your event's registration process, including schedule item registration.
    Navigate to "Schedule" in the left sidebar menu.
    Select the schedule item you want to set a close date for.
    Click on the "Options" tab within the schedule item settings.
    Toggle "Enable Registration & Waitlist" to ON if not already enabled.
    Check the box for "Set a Registration Close Date & Time".
Choose a date and time that allows you enough preparation time before the actual schedule item occurs.
    Select the date and time when registration should close using the date picker.
    Click "Save" at the bottom of the page to apply your changes.
After the specified date and time, the registration button for this schedule item will display "Registration Closed" instead of "Register" or "Full".

Troubleshooting

If registration is not closing at the specified time:
  • Verify that the correct time zone is set for your event
  • Check that you've saved your changes after setting the close date and time
  • Ensure the schedule item's registration is enabled
