How to configure Event Scheduler permissions and access levels

The Events Team menu in Cadence allows you to manage who has administrative access to your event. By configuring Event Scheduler permissions, you can delegate specific responsibilities to team members without granting full administrative access, creating an efficient workflow while maintaining proper access control.

When to use

  • When you need team members to help manage event content but not access admin configurations
  • When you want to distribute workload across your event team
  • When you need to provide limited editing capabilities to external partners or vendors
  • When creating a structured workflow for different aspects of your event

Before you start

You must have Admin or Event Manager permissions to modify Event Scheduler settings.

How to do it

    Log in to your Cadence Admin account.
    Navigate to your event dashboard.
    Click on "Event Setup" in the left sidebar menu.
    Select "Events Team" from the submenu that appears.
    Locate the Event Scheduler field in the form.
Event Schedulers can fully edit the web version of your event but cannot access the admin site for configurations.
    Type the email addresses of users you want to add as Event Schedulers.
    Press Enter after each email address to add multiple schedulers.
    Create a document outside of Cadence that outlines specific responsibilities for each Event Scheduler.
    Assign specific areas of responsibility to different Event Schedulers based on their expertise.
Consider creating templates or guidelines for each section to ensure consistency across the event.
    Establish communication protocols for how Event Schedulers should request changes that require Administrator access.
    Click "Save" to apply your changes.
    Inform your Event Schedulers that they now have access to edit the event.
If you remove someone from the Events Team, they will immediately lose their administrative access to the event.

Troubleshooting

If Event Schedulers report they cannot access or edit the event:
  • Verify they have been added as attendees to the event first
  • Ensure the event is not in "Deactivated" status
  • Check that they are using the correct login credentials
  • Confirm they are trying to access the web version, not the admin interface
