The Appointments feature in Cadence offers several optimization strategies to efficiently manage high volumes of meetings during large events. Through the Appointments Menu › Settings section, you can configure default durations, implement time restrictions, and utilize specialized workflows that streamline the scheduling process while respecting everyone's availability.

When to use

  • When managing events with hundreds of appointments
  • When coordinating meetings with multiple stakeholders
  • When you need to maximize limited meeting room resources
  • When you want to increase appointment acceptance rates

Before you start

You must have System Administrator, Event Manager, or Event Scheduler permissions to implement these optimization strategies.

How to do it

    Navigate to your event dashboard in Cadence.
    Select "Appointments" from the left sidebar menu.
    Click the "Settings" tab at the top of the page.
    Configure the "Maximum Appointment Duration" setting.
Setting a maximum duration (typically 30-45 minutes) prevents users from booking excessively long meetings that block rooms during high-demand periods.
    Set a standardized "Default Appointment Duration" that aligns with your event's meeting format.
    Enable "Ask-Customer Schedule Time Restriction" to prevent last-minute scheduling.
    Set the time restriction value to at least 24 hours.
Without time restrictions, attendees may schedule appointments too close to the event start time, creating logistical challenges.
    Toggle on "Enable Mutual Request Email" to identify when multiple team members schedule with the same customer.
This feature helps prevent duplicate meetings and allows for potential meeting consolidation.
    Enable "Auto Add Organizer under People" to streamline appointment creation.
    Configure the "Default Send Invites, Updates & Reminders Setting" based on your communication preferences.
    Enable "Customer Portal" to give attendees self-service access to their appointments.
    Click "Save" to apply your settings.

Troubleshooting

If users report scheduling conflicts despite optimization:
  • Verify that "Ask-Customer Schedule Time Restriction" is properly configured
  • Check if "Maximum Appointment Duration" is set appropriately for your event's needs
  • Ensure "Enable Mutual Request Email" is activated to catch potential duplicate meetings
