How to view existing rooms and their configurations

View Existing Rooms and Their Configurations

The Rooms menu in Cadence serves as your central hub for managing all meeting spaces at your event. Through the Rooms Menu › Settings section, you can view and understand the configuration of existing rooms, including their capacity, resources, and availability settings. This information helps you make informed decisions when scheduling appointments or assigning rooms to schedule items.

When to use

  • When you need to check room details before scheduling appointments
  • When reviewing room capacity for event planning
  • When verifying room resources and amenities
  • When checking which rooms are configured for appointments vs. schedule items
You must have System Administrator or Event Manager permissions to access the Rooms menu.

How to do it

    Log in to your Cadence Admin account.
    Navigate to your event dashboard.
    Click on "Event Setup" in the left sidebar menu.
    Select "Rooms" from the dropdown menu.
    Review the main Rooms interface which displays all available rooms.
You can quickly see room capacities and resources directly in the list view.
    Click on any room name to view its detailed configuration.
    Examine the room details page to see:
  • Room name and description
  • Capacity limits
  • Location information
  • Resources and amenities
  • Food & beverage options
    Check if the room has appointment configurations enabled.
Rooms with Appointment Configurations enabled cannot be selected for schedule items. They will only appear in the appointment booking interface.
    Review the room's availability settings to see when it can be booked.
    Note whether the room allows double booking (multiple appointments at the same time).
    Return to the main Rooms list by clicking the "Back" button or the "Rooms" tab.
    Click the "Settings" tab at the top of the page to view room sorting options.
    Choose how rooms are displayed by selecting from the "Sort By" dropdown:
  • Alphabetical Order (default)
  • Custom Order
    Select "Custom Order" if you want to manually arrange rooms in a specific sequence.
    Use the drag handles (six dots) to reorder rooms when Custom Order is selected.
    Click "Save" to apply your settings changes.

Troubleshooting

If you cannot see certain rooms in appointment scheduling, verify they have appointment configurations enabled and check their availability dates and times.
