How to optimize check-in flow for large events

The Event Check-In feature in Cadence allows you to efficiently manage attendee check-ins at your events. For large events with hundreds or thousands of attendees, optimizing your check-in process is essential to prevent long lines and ensure a smooth experience for both staff and participants.

When to use

  • When managing events with more than 100 attendees
  • When multiple check-in stations are needed
  • When you need to process attendees quickly during peak arrival times
  • When coordinating a team of staff members handling check-ins

Before you start

You must have Admin, Event Manager, or Event Scheduler permissions to configure Event Check-In settings and implement these optimization strategies.

How to do it

Plan your check-in layout based on expected attendance volume and venue constraints.
Create multiple check-in lists by navigating to People → Event Check-In → Lists.
Organize lists alphabetically (A-F, G-M, N-Z) or by attendee type to distribute traffic evenly across stations.
Assign dedicated staff to each check-in list or station.
Ensure all staff members have the appropriate permissions and training on the check-in process.
Configure custom labels if needed by toggling "Override check-in labels for this event" in Settings.
Clear, consistent terminology helps staff process check-ins more efficiently.
Enable badge scanning if available with your license type.
Badge scanning significantly increases check-in speed compared to manual name lookup.
Set up express lanes for pre-registered attendees versus walk-ins or special groups.
Test your check-in process with staff members before the event.
Conduct testing on the same devices you'll use during the actual event to identify any potential issues.
Prepare offline backup procedures in case of connectivity issues.
Download attendee lists before the event and have a plan for reconciling offline check-ins later.
Monitor check-in statistics in real-time during the event by viewing the dashboard.
Adjust staffing at check-in stations based on line lengths and peak arrival times.
The busiest check-in periods typically occur 30 minutes before the event start time and after lunch breaks.

Troubleshooting

If the check-in system becomes unresponsive during peak times, try refreshing the application, switching to the mobile app, or implementing your offline backup procedure until connectivity is restored.
