Event Launch Checklist

The following article provides an overview of everything you need to consider when hosting a top-notch event.

Your main focus should be on creating a world-class event and engaging your audience in the magic you've created. As you prepare to  send your welcome email  to attendees, use this checklist to ensure everything is ready for your event attendees.

Tip: To get feedback,  add a few friends or colleagues to your event and send them a welcome email.  They can also assist with building out the event with you.


Step 1: Design & Style Your Event

Our design, product, and engineering teams have worked hard to give you the tools to brand your event with your colors, logos, imagery, and style. Now it's your turn to make this event truly yours!

Logos & Images
  •  Event Setup - Images article  
    .1Logo Application: Make your company's logo stand out. This logo will be visible in your event menu and on every web screen. It will also be displayed over your Home image in the app. Ideally, use a transparent or white logo for the Home (App) Logo.
    .2Use of Imagery: Imagery adds excitement and energy to your event. It helps you narrate the story of your event and establish an emotional connection with the topics, content, and event theme. Be careful though, imagery may cause FOMO and genuine tears of joy.
    .3Image Quality Check: Review every image you uploaded. If an image appears fuzzy, ensure it adheres to our recommended image specs outlined in our  branding brochure .
    .4Image Cropping: If any images and banners are cropping oddly, we recommend visiting the admin site to upload or select your image from Unsplash for optimal cropping.
    .5Image Selection: Focus on using images that connect your audience's emotions to a specific topic, theme, or environment.

Color Theme

    .1Color Theme Adjustment: You may want to consider adjusting the color theme. However, this is only available if you're on a paid license (Premium, Premium Pro, or Enterprise).


Step 2 - Build Your Menu

Use this checklist to provide a menu that displays everything you are offering at this wonderful event.

RECOMMENDED
    .1Menu Review: Review Select Menu Items and Create Custom Menu item to determine the best navigation for your audience.
    .2Menu Selection: Select or Create your menu items.
    .3Menu Order: Ensure that the order of your Menu items are in the order of priority for your event. To rearrange them, visit the admin site, event setup, then menu.
    .4Menu Visibility: Define whether all attendees, groups of attendees, or specific attendees may see each menu item.

OPTIONAL
    .1Menu Naming: Name your menu items to your preferred nomenclature. We won't be insulted, we promise!
    .2Custom Menu Items: Add custom menu items. These will allow you to add specific materials, collections, companies, or external links to your menu. You may also select custom menu icons. We have many new custom icons in the works. We promise they're hot.


Step 3 - Make Your Home Screen Personalized

First impressions count. Delight your attendees the moment they enter your event. Use this checklist to make your event landing page the launchpad to an unforgettable event experience.

RECOMMENDED
    .1Compose a Welcome Message: Recognize and celebrate your attendees' participation in this remarkable journey they're about to undertake. Welcome messages can be presented in text, PDF, or video formats.
    .2Establish a Direct Contact Point: For any event-related inquiries, use the Link to People feature to connect to the event support contacts. This could be a single individual or the entire events team.
    .3Link Event Areas on Home Screen: This offers a concise summary, compelling value proposition, and easy access for your attendees.
    .4Review Text and Links: Ensure to go through the text and links at least once. Look out for typos, broken links, and placeholder text where necessary.

    .1Create Group-Specific Home Sections: The more you personalize and curate the event experience, the more your attendees will feel understood and appreciated.


Step 4 - Craft Your Event Experience

Depending on the menu items you've chosen, you'll now want to develop each individual area of your event.

Step 5 - Review Your Event & Prepare to Amaze Your Attendees

Before sharing your event with your audience, ensure your event is ready to impress by double-checking the following steps:

  •  5. Set up Cadence Notifications 
  •  6. Enable Quick Messaging with Attendees and Groups 
  •  7. Engage with Sponsors and Exhibitors 
  •  8. Encourage Friendly Competition 
  •  9. Connect Audience with Speakers 
  •  10. Gather Insights through Surveys 
  •  11. Organize Materials in Collections 
  •  12. Schedule Appointments with Customers 
  •  13. Get to Know Your Customers 
  •  14. Review the Event Landing Page 


Recommended Actions

  • Ensure consistency in your attendee's experience by visiting your event on desktop web, iPhone, iPad, and Android.
  • Check your Groups and attendees within the group to ensure your visible to status is correct in each applicable area.
  • Review the Visible To status for your menu items, schedule items, and content to ensure the views and access are as desired.
  • Send yourself the Welcome Email via Attendees to ensure its look, information, and links are as desired.


Optional Actions

  • After sending the welcome email and attendees start accessing your event, review the event analytics dashboard to track event engagement and check for trends. Use this information to send contextual notifications to specific audiences linking to specific areas of your event.

Tip: Treat your event as a constantly evolving experience for your attendees. After launching, you can continue to craft your event experience by creating, editing, and removing anything within your event. Regularly review the event, adjust the event landing page, send communications, and adjust the imagery to ensure it feels like a living, dynamic event.


Step 6 - Bring People Into Your Event

An event involves people. Use this checklist to bring people into this special experience you've created. It's your time to shine!


Recommended Actions

    .1Review and adjust the Welcome Email as necessary. If you've already completed this in the step above, you're ahead of the game and a great learner. If not, it's time to catch up.
    .2Send the Welcome Email!


Optional Actions

    .1Create an Event Registration website (if applicable). You can use any external registration platform to export the list of attendees, then import into Cadence. Alternatively, you can contact the Cadence team to fully integrate your registration site and process into your event in Cadence.
    .2Review the Registration Site to ensure the logos, imagery, and details are correct.
    .3Add Companies to your Registration Site for prospective attendees to see who's sponsoring your event.
    .4Spot check the list of your pre-registered or registered attendees in People.
    .5Invite People or Share the Registration Link.
    .6Pre-Register Attendees through the Add People workflow.
