How to use appointment templates

Appointment templates in Cadence allow you to create reusable appointment formats with predefined fields such as organizer, location, topics, and objectives. Using templates saves time when scheduling multiple similar meetings and ensures consistency across your event appointments.

When to use

  • When scheduling multiple appointments with similar details
  • When team members need to create consistent appointments
  • When you want to standardize meeting formats across events
  • When you need to quickly create appointments without re-entering common information

Before you start

You must have System Administrator, Event Manager, or Event Scheduler permissions to create and use appointment templates. Template names are required fields marked with an asterisk (*).

How to do it

    Navigate to the Appointments section in your event.
    Click the "Add" button in the top-right corner of the screen.
    Select "Create Appointment Template" from the dropdown menu.
    Enter a name for your template in the "Template Name" field.
    Complete the appointment details you want to standardize, such as appointment name, topics, objectives, and location.
Use attributes in the appointment name field (like [Customer Name] or [Event Name]) to create dynamic titles that automatically populate when using the template.
    Add default attendees if certain people should be included in all appointments using this template.
When using a template to create an appointment, the creator will automatically be set as the organizer if no organizer is specified in the template.
    Set visibility options by clicking "Visible To" and selecting specific users or groups who should have access to this template.
    Click "Save" to create your template.
    To use your template, click the "Add" button and select your template from the "My Templates" section.
When selecting a template from another event, some details like rooms, attendees, and settings may not carry over. Review all fields before saving.
    Review and modify any appointment details as needed for this specific instance.
    Click "Save" to create the appointment based on your template.

Troubleshooting

If your template doesn't appear in the templates list, check that you have the correct permissions and that the template is shared with you. If a partner is added as an attendee in a template, they may be treated as an internal attendee when creating an appointment, requiring manual correction.
