From Admin → People → Registration, go to the tab.
Fill out:
→ required maximum number of attendees allowed.
- Once capacity is set, the system recognizes when the event is full.
- This is required before enabling the waitlist.
Waitlist
After setting capacity, the option will appear.
→ activates waitlist functionality.
Click to apply changes.
Notes:
- Waitlist has no limit (unlimited users can join).
- Registration remains open even after capacity is reached.
- Users will be added to the waitlist once the event is full.
After enabling, a new tab will appear.
From Registration → Waitlist tab:
- View all waitlisted users
- Each user has a position number (queue order)
To adjust priority:
- Drag the three-line handle next to a user’s name
- Reorder users based on priority
When space becomes available, the system automatically promotes the top waitlisted user to registered.
A spot opens when:
An attendee unregisters
Event capacity is increased
If capacity is increased:
- You can trigger a email
- Customize this in Attendees → Emails → Waitlist Spot Opened
Notes:
- Waitlisted users do not receive emails by default
- Promotion is not guaranteed
Once promoted:
- User is removed from the Waitlist tab
- User appears in the main Registration list
To check status:
- Hover over the tooltip to see if the user was previously waitlisted
When capacity is reached and waitlist is enabled:
- Registration stays open
- Users are prompted to join the waitlist
If using a registration form:
- The form opens after users join the waitlist
- Users can enter their details as usual
Waitlist cannot be enabled without setting attendee capacity first.
- Set a realistic attendee capacity before enabling waitlist
- Reorder waitlist users if prioritization is needed
- Use email notifications when increasing capacity
- Monitor promotions to track attendee movement
