Use Location Availability Filters
The Location Availability feature in Cadence provides powerful filtering options to help you quickly find available rooms that meet specific criteria. Through the Appointments menu, you can filter by room characteristics, resources, seating capacity, and food & beverage options to efficiently schedule meetings in appropriate spaces.
When to use
When searching for rooms with specific amenities or equipment
When you need to find rooms with particular seating arrangements
When looking for rooms in specific areas of your venue
When filtering for rooms that offer food and beverage service
Before you start
You must have System Administrator, Event Manager, or Event Scheduler permissions to access Location Availability filters. The filtering options available depend on how your event rooms have been configured.
How to do it
Navigate to your event dashboard in Cadence.
Click "Appointments" in the left sidebar menu.
Select "Location Availability" from the dropdown menu.
Choose a date using the calendar selector at the top of the page.
Use the arrows next to the date to quickly move between days.
Click the "Refine" button in the upper right corner to open the filter panel.
Select filters from the available categories:
Locations (filter by specific rooms or areas)
Seats (filter by minimum/maximum capacity)
Resources (filter by available equipment)
Food & Beverage (filter by catering options)
Choose specific values for each filter category as needed.
All times displayed in the Location Availability view are shown in the timezone indicated at the top of the screen.
Click "Apply" to view your filtered results.
Review the filtered room list that matches your criteria.
Click on any time slot in an available room to create a new appointment.
If you select a time slot for a room that appears available but has been recently booked, you'll receive a notification that the room is no longer available.
Clear filters by clicking the "Clear" button or removing individual filter selections.
Use the search bar above the time grid to find specific appointments by title, organizer, or customer name.
Troubleshooting
If no rooms appear after applying filters:
Try broadening your filter criteria
Check if the date selected has any available rooms
Verify that rooms have been properly configured with the resources you're filtering for
