The People Availability feature in Cadence allows you to view the schedules of internal attendees and customers to find optimal meeting times. This powerful scheduling tool helps you identify when all required participants are available, avoiding conflicts with existing appointments, schedule items, or blocked time.
When to use
When scheduling new appointments with multiple attendees
When finding available time slots that work for everyone
When rescheduling existing appointments to accommodate all participants
When coordinating meetings across different time zones
Before you start
You must have System Administrator, Event Manager, or Event Scheduler permissions to access and use the People Availability feature.
How to do it
Navigate to your event dashboard in Cadence.
Click "Appointments" in the left sidebar menu.
Select "New Appointment" or edit an existing appointment.
Add people to your appointment by clicking the "+" icon in the People section.
Click the "View Availability" button that appears after adding attendees.
You can add both internal attendees and customers before checking availability to find times that work for everyone.
Select a date range using the calendar selector at the top of the availability view.
Review the time grid showing all attendees and their availability status.
Green blocks indicate available time, while gray blocks show conflicts or blocked time.
Hover over any blocked time to see details about the conflicting appointment or schedule item.
Click on an available time slot to select it for your appointment.
Selecting a time with conflicts will require some attendees to reschedule their existing commitments.
Confirm your selection by clicking "Apply" to populate the appointment form with the chosen date and time.
Complete the remaining appointment details and save your changes.
Troubleshooting
If availability information isn't displaying correctly:
Verify that attendees have been properly added to the appointment
Check if attendees have updated their calendar synchronization settings
Ensure you're viewing the correct date range that includes potential meeting times
Try refreshing the page if availability data seems outdated
