How to use QR codes for self check-in

Self check-in using QR codes allows attendees to check themselves in for schedule items by scanning a code, eliminating the need for staff to manually check in each person. This feature streamlines the check-in process for events with multiple sessions or limited staff.

When to use

  • When managing high-volume check-ins for schedule items
  • When you want to reduce staff needed at session entrances
  • When tracking attendance for compliance or reporting purposes
  • When you need to verify that attendees are registered for specific sessions
You must have Admin or Event Manager permissions to enable and configure self check-in.

How to do it

    Log in to your Cadence account.
    Navigate to your event dashboard.
    Select "Schedule" from the left sidebar menu.
    Choose the schedule item you want to enable self check-in for.
    Click "Options" to access the schedule item settings.
    Scroll down to the Check-In section.
    Toggle "Enable Self Check-in" to activate the feature.
Self check-in works alongside other check-in methods, so you can still manually check in attendees if needed.
    Save your changes to generate a unique QR code and universal link.
    Download the QR code by clicking the download button.
The QR code is unique to this specific schedule item and cannot be used for other sessions.
    Copy the universal link if you want to share it digitally.
    Display the QR code at the entrance to your session room.
Print the QR code in a size large enough to be easily scanned from a comfortable distance.
    Instruct attendees to scan the code using either:
  • Their phone's camera app (which will open the Cadence app)
  • The QR scanner in the Cadence app (accessible from the home screen)
    Test the QR code yourself to ensure it's working properly.
Attendees must have the Cadence app installed and be logged in to complete the self check-in process.

Troubleshooting

If attendees report that scanning doesn't work, verify they're using the latest version of the Cadence app (v2.7.404 for Android or v2.7.393 for iOS) and are logged in with the same email address used for registration.
