Appointments - Bulk Actions - Quickly Updating Multiple Appointments

An overview on the available options to bulk update one or more appointments in one fell swoop

SELECTING BULK OPTIONS



On the left hand side of the appointments listing table are checkboxes for you to select to conduct Bulk Actions. Clicking on the checkbox to the left of the Appointment column will select all appointments.


Upon selecting your appointments and selecting the Bulk Actions button you will be brought to this screen where you may select which bulk action you'd like to use. Each bulk action available is described below.

BULK ADD PEOPLE



The bulk option Add People will allow you to add people for all appointments you've selected.


This screen will allow you to add one or more people that you'd like to add to the appointments you've selected.

This screen will also allow you to determine whether invites should be triggered to the people you're adding to the appointments you've selected.

This screen is the final step which is to Review Changes. If the changes look good to you, click Add People & Send Invites.

This screen will also display if the appointments you've selected do not apply to the bulk action you've selected. This displays the Excluded Appointments from the bulk action.


BULK REMOVE PEOPLE



The bulk option Remove People will allow you to add people for all appointments you've selected.


This screen will allow you to select one or more people that you'd like to Remove from the appointments you've selected.

This screen is the final step which is to Review Changes. If the changes look good to you, click Apply Changes.


BULK ADD PRIORITY



This bulk action Add Priority will allow you to categorize appointments into three tiers: Tier 1, Tier 2, or Tier


This screen allows you to select which category to put the appointments you selected.


This screen is the final step which is to Review Changes. If the changes look good to you, click Apply Changes.


BULK ADD TOPICS



The bulk action Add Topics will allow you to add topics to all appointments you've selected.


On this screen, you will select one or more topics that would you like to add to all appointments you've selected.


This is the final screen, Review Changes, where you will review all topics that will be added to your selected appointments.

BULK ADD OBJECTIVE



The bulk action Add Objectives will allow you to add people for all appointments you've selected.


On this screen, you will select one or more Objectives that you would like to add to all selected appointments.


This is the final screen, Review Changes, where you will review the objectives that are being added to all selected appointments. Once it looks good, click Apply Changes.

BULK ADD ROOMS (ASK CUSTOMER APPOINTMENT)



The bulk action Add Rooms (Ask Customer Appointment) will allow you to add rooms for all appointments you've selected.


If any of the appointments you've selected in your Bulk Action, do not apply to the bulk action you've selected, you will see this screen informing you of which appointments are Excluded Appointments.


Toggle on Replace Room(s) to select another room that you want to add to all appointments you selected.


This is the final screen, Review Changes, where you will review the objectives that are being added to all selected appointments. Once it looks good, click Apply Changes.

BULK ADD PERSONAL MESSAGE



The bulk action Add Personal Message will allow you to add unique message for specific customer/s.


This screen will allow you to create your personal message to the customers on the appointments you selected.


This screen is the final step which is to Review Changes. If the changes look good to you, click Apply Changes.


BULK ADD RESOURCE



The bulk action Add Resources will allow you to add resources for all appointments you've selected.


If any of the appointments you've selected in your Bulk Action, do not apply to the bulk action you've selected, you will see this screen informing you of which appointments are Excluded Appointments.


You may add three types of resources: website, file attachment, or a video. You may also toggle on or off visibility to make it public or private to invited internal appointment attendees only.


This screen is the final step which is to Review Changes. If the changes look good to you, click Apply Changes.


BULK UPDATE ADDITIONAL APPOINTMENT INFO



The bulk action Update Additional Appointment Info will allow you to update appointment information for all appointments you've selected.


If any of the appointments you've selected in your Bulk Action, do not apply to the bulk action you've selected, you will see this screen informing you of which appointments are Excluded Appointments.


BULK ADD NOTE TO APPOINTMENT ACTIVITY



The bulk add option Add Note to Appointment Activity will allow you to add notes to all selected appointments.


This screen will allow you to write the note you'd like to add to all selected appointments.


This final screen, Review Changes, will allow you to review the note that you will be adding to all the below appointments. Once reviewed and approved, click Apply Changes.


BULK ENABLE/DISABLE SEND INVITES



The bulk action Enable/Disable Send Invites will allow you to apply either action for all appointments you've selected.


Toggle on Invites to allow appointment attendees to receive reminder emails for the appointment. Toggle off to disable this action.


If any of the appointments you've selected in your Bulk Action, do not apply to the bulk action you've selected, you will see this screen informing you of which appointments are Excluded Appointments.


BULK ENABLE/DISABLE SEND UPDATES & REMINDERS



The bulk action Enable/Disable Send Updates & Reminders will allow you to apply either action for all appointments you've selected.


Toggle on to allow attendees to receive updates and relevant reminders about their appointments.


This screen is the final step which is to Review Changes. If the changes look good to you, click


BULK ENABLE/DISABLE RESCHEDULING INVITES



The bulk action Enable/Disable Rescheduling Invites will allow you to apply either action for all appointments you've selected.


Enable Rescheduling Invites by toggling it on to give the customers an option to reschedule the appointment on a day and time that works best for them.


This screen is the final step which is to Review Changes. If the changes look good to you, click Apply Changes.


CUSTOMER CONTACTED, MOVE TO PENDING



The bulk action Move to Pending will allow you to move all selected appointments to Pending status when the customers and attendees have been invited.


If any of the appointments you've selected in your Bulk Action, do not apply to the bulk action you've selected, you will see this screen informing you of which appointments are Excluded Appointments.


You may also take notes of other actions taken prior to moving the status.


This screen is the final step which is to Review Changes. If the changes look good to you, click Apply Changes.


BULK CANCEL APPOINTMENTS



The bulk action Cancel Appointments will allow you to cancel appointments for all appointments you've selected.


You need to state the reason why the appointments you selected were cancelled. You may also choose to postpone the appointment to an upcoming event.


This screen is the final step which is to Review Changes. If the changes look good to you, click Cancel Appointments.


BULK DELETE APPOINTMENTS



The bulk action Delete Appointments will allow you to delete appointments for all appointments you've selected.

This screen is the final step which is to Review Changes. If the changes look good to you, click Delete Appointments.


BULK EDIT ORGANIZER OR SCHEDULER



The bulk action Edit Organizer or Scheduler will allow you to change or update the organizer and/or the scheduler for all appointments you've selected.


Select new organizer and/or scheduler by searching for the name of the new organizer or scheduler or by creating a new organizer and/or scheduler.


This screen is the final step which is to Review Changes. If the changes look good to you, click Apply Changes.


USE YOUR EMAIL TEMPLATES TO SEND TEMPLATE EMAILS IN BULK




Select a Contact Option will display each email template and contact options available to send for all appointments selected.


If any of the appointments you've selected in your Bulk Action, do not apply to the bulk action you've selected, you will see this screen informing you of which appointments are Excluded Appointments.


Select Ask Customer Type by choosing among In-Person/Virtual, In-Person, or Virtual based on the type of appointment you will have. Toggle on Edit Email to make updates or changes on the template.



The option to insert attributes on the email template is available to easily create a template to be sent to multiple customers. Click Preview Invite Email to review your template.


Once you are satisfied with your template, click Review Changes.


This screen is the final step which is to Review Changes. If the changes look good to you, click Apply Changes.
