How to set up group-based visibility for schedule items during registration

Set Up Group-Based Visibility for Schedule Items During Registration

The Registration Menu in Cadence allows you to control which schedule items are visible to specific attendee groups during the registration process. By configuring visibility settings in the Registration Menu › Schedule section, you can ensure attendees only see schedule items relevant to their group assignments, creating a personalized registration experience based on their responses to form questions.

When to use

  • When different attendee groups should see different schedule items
  • When organizing events with role-specific or department-specific sessions
  • When using registration form questions to segment attendees into groups
  • When creating personalized registration paths based on attendee responses

Before you start

You must have System Administrator or Event Manager permissions to configure registration form visibility settings.

How to do it

    Log in to your Cadence Admin account.
    Navigate to your event dashboard.
    Select "Registration" from the left sidebar menu.
    Click on the "Schedule" tab in the Registration settings.
    Enable the "Allow Schedule Selection During Event Registration" checkbox.
This setting must be enabled before you can configure group-based visibility for schedule items.
    Configure minimum and maximum selection requirements if needed.
    Click "Save" to apply these initial settings.
    Navigate to the "Form" tab in the Registration settings.
    Locate the question that will determine group assignment.
    Click the "Edit" button next to this question.
    Scroll to the "Group Assignment" section.
    Enable the "Assign to Group" option.
If you don't see the "Assign to Group" option, verify that you have created the necessary groups in the People › Groups section first.
    Map each answer option to the appropriate group.
    Click "Save" to apply these group assignments.
    Return to the "Schedule" tab.
    Click "Add Schedule Items" to select which items will be available during registration.
    Select schedule items that should be visible to specific groups.
Choose schedule items that already have group visibility configured in the Schedule section of your event.
    Click "Save" to apply your schedule item selections.
    Test the registration process by previewing the form as different user types.

Troubleshooting

If schedule items aren't filtering correctly based on group assignments, ensure that each schedule item has the proper visibility settings configured in the Schedule section of your event.
For group-based visibility to work properly, you must assign every possible answer option to at least one group, even if it's a placeholder group.
