How to enable and configure Badge Scan check-in

Enable and Configure Badge Scan Check-in for Schedule Items

Badge Scan Check-in streamlines the attendance tracking process by allowing event staff to quickly verify attendees by scanning QR codes on their badges. From the Schedule Menu › Settings section, you can enable this feature for all schedule items in your event, making it easier to track attendance accurately at sessions, workshops, and other activities.

When to use

  • When attendees have physical badges with scannable QR codes
  • When you need to track attendance accurately and efficiently
  • When managing multiple check-in stations with different staff members
  • When you want to verify attendance for compliance or reporting purposes

Before you start

You must have Admin or Event Manager permissions to configure badge scanning settings. System Administrator permissions are required to modify the Event License Type if badge scanning is not available.

How to do it

    Log in to your Cadence Admin account.
    Navigate to your event dashboard.
    Select "Schedule" from the left sidebar menu.
    Click the "Settings" tab at the top of the Schedule page.
    Scroll down to the check-in configuration section.
    Toggle "Enable Standard Attendee Check-in" to ON if not already enabled.
Badge scanning requires the standard check-in feature to be enabled first.
    Toggle "Enable Badge Scan Check-in" to ON to activate badge scanning.
This option is recommended only if attendees will have badges with scannable QR codes.
    Consider enabling "Enable Signature Capture Check-in" if you need attendees to provide signatures during check-in.
    Toggle "Enable Customers Check-in" to ON if you want to allow external participants to be checked in.
    Click "Save" to apply your changes.
    Open the Cadence mobile app on your device to perform badge scanning.
    Navigate to a schedule item in the app.
    Tap the scan icon to activate your device's camera.
    Position the camera to capture the QR code on the attendee's badge.
Hold the device 4-6 inches from the badge in a well-lit area for best scanning results.
    Confirm the attendee's information when it appears on screen.
    Complete any additional required steps, such as signature capture if enabled.

Troubleshooting

If badge scanning isn't working properly:
  • Verify that attendees have valid, unobstructed QR codes on their badges
  • Ensure adequate lighting when scanning badges
  • Check that you're using the latest version of the Cadence mobile app (v2.7.404 for Android or v2.7.393 for iOS)
  • Verify the "Enable Badge Scan Check-in" option is enabled in your event settings
