Balance Flexibility and Structure in Schedule Management

The Schedule Settings page in Cadence allows you to create the right balance between structured organization and attendee flexibility for your event schedule. Through the Schedule Menu › Settings section, you can configure display formats, enable features like tracks and live polling, and set registration limits that provide structure while still allowing attendees to personalize their event experience.

When to use

  • When planning events with both required and optional sessions
  • When organizing complex events with multiple tracks or session types
  • When you need to maintain structure while allowing attendee choice
  • When balancing between guided experiences and self-directed exploration

Before you start

You must have System Administrator or Event Manager permissions to modify schedule settings. Required fields are marked with an asterisk (*).

How to do it

    Log in to your Cadence Admin account.
    Navigate to your event dashboard.
    Click on "Schedule" in the left sidebar menu.
    Select "Settings" from the submenu that appears.
    Choose your preferred "Schedule View" format from the dropdown menu.
"List View" provides more information density, while "Image List View" offers a more visual experience.
    Toggle "Enable Tracks" to organize sessions into categories.
Tracks help attendees find relevant content while maintaining a cohesive event structure.
    Enable "Multiple Track Types" if your event has different categories of tracks.
This feature works well for complex events with both thematic tracks and format-based tracks (workshops, panels, etc.).
    Toggle "Maximum Number of Elective Schedule Items" to set registration limits.
Without limits, some popular sessions may become overbooked while others remain underutilized.
    Enter a maximum number in the field that appears if you enabled the previous setting.
    Set calendar sync date ranges to ensure schedule items appear correctly in attendees' calendars.
    Configure check-in methods based on your event's tracking requirements:
  • Enable Standard Attendee Check-in for basic attendance tracking
  • Enable Badge Scan Check-in for faster processing at larger events
  • Enable Legal Disclaimer Check-in for compliance requirements
  • Enable Signature Capture Check-in for verified attendance records
  • Enable Customers Check-in for external attendees
    Click "Save" to apply your settings.
The button will briefly change to "Saved" to confirm your changes were applied successfully.

Troubleshooting

If attendees report difficulty finding relevant sessions:
  • Consider adding more descriptive track names
  • Review your track structure to ensure logical organization
  • Verify that schedule items are correctly assigned to appropriate tracks
  • Consider enabling "Display People" to help attendees find sessions by presenter
