How to track appointment status

Track Appointment Status

The Appointments feature in Cadence allows you to monitor the progress of meetings from creation through completion. From the Appointments Menu › Settings section, you can view and manage appointment statuses including proposed, pending, confirmed, declined, and cancelled. Tracking these statuses helps you maintain visibility into meeting confirmations and attendee responses across your event.

When to use

  • When monitoring the confirmation status of scheduled appointments
  • When following up on pending appointments
  • When analyzing appointment engagement metrics
  • When generating reports on appointment statuses
  • When identifying appointments that need attention

Before you start

You must have System Administrator, Event Manager, or Event Scheduler permissions to access and track appointment statuses.

How to do it

    Log in to your Cadence account.
    Navigate to your event dashboard.
    Click on "Appointments" in the left sidebar menu.
    Select "All Appointments" from the dropdown menu.
Choose "My Appointments" to view only meetings where you are the organizer or scheduler.
    Review the status filter ribbon at the top of the dashboard showing counts for:
  • Total Appointments
  • Proposed (lavender)
  • Pending (yellow)
  • Confirmed (green)
  • Declined (red)
  • Cancelled (dark gray)
    Click on any status filter to show only appointments with that status.
    Use the search bar to find specific appointments by title, attendee, or other criteria.
    Click the "Refine" button to access advanced filtering options.
You can filter by date range, organizer, customer, location, and other custom fields.
    Select your preferred view using the view toggle in the upper right corner:
  • List View (default)
  • Calendar View
  • Analytics View
    Click on any appointment to view detailed status information and activity history.
Changes made to appointment details will trigger notification emails to attendees unless the "Send Emails" option is disabled.
    Export your filtered appointment list by clicking the "Export" button if you need an offline copy.
    Review the "Attendance Status Report" for detailed information about attendee responses and check-ins.

Troubleshooting

If appointment statuses are not updating correctly:
  • Verify that email notifications are properly configured
  • Check that attendees have received invitation emails
  • Ensure the appointment has a valid date and time if it should be in Pending or Confirmed status
