How to add resources and equipment to rooms

Add Resources and Equipment to Rooms

The Rooms menu in Cadence allows you to specify what equipment and resources are available in each meeting space at your event. Through the Rooms Menu › Settings section, you can add projectors, whiteboards, video conferencing equipment, and other amenities to help attendees and organizers quickly identify appropriate spaces for their specific meeting needs.

When to use

  • When setting up rooms with specialized equipment
  • When you need to highlight available technology in meeting spaces
  • When helping schedulers find rooms with specific resources
  • When tracking equipment distribution across your venue

Before you start

You must have System Administrator or Event Manager permissions to add resources to rooms. Required fields are marked with an asterisk (*).

How to do it

    Log in to your Cadence Admin account.
    Navigate to your event dashboard.
    Click on "Event Setup" in the left sidebar menu.
    Select "Rooms" from the dropdown menu.
    Click on an existing room or create a new one using the "+" button.
    Scroll down to find the "Resources" section in the room details form.
If you don't see the Resources section, check with your System Administrator to ensure this feature is enabled for your event.
    Click the "+" icon next to Resources to add equipment options.
    Select from the default suggested options:
  • Projector
  • Whiteboard
  • Video conferencing
  • Microphone
  • Speaker phone
    Add custom resources by typing them directly in the field if the default options don't meet your needs.
Custom resources might include specialized equipment like translation booths, recording equipment, or medical demonstration tools.
    Add multiple resources if the room offers various equipment options.
    Click "Save" to apply your changes to the room.
    Repeat for other rooms that offer different resource configurations.
Use consistent resource descriptions across similar rooms to make filtering more effective.
    Verify that the resource icons appear next to the room in the Location Availability view.
When users hover over the resource icons in the appointment booking interface, they will see all the equipment options you've added.

Troubleshooting

If resources aren't displaying correctly in the appointment booking interface, verify that:
  • You've saved your changes after adding resources
  • The room is properly configured for appointments if being used for that purpose
  • You're using supported browsers (Chrome, Safari, Firefox, Edge)
