Handle Group Check-Ins Efficiently

The Event Check-In feature in Cadence allows you to streamline the check-in process for large groups of attendees. By creating specialized check-in lists and implementing efficient workflows, you can significantly reduce wait times and improve the attendee experience at high-volume registration areas.

When to use

  • When managing large events with 100+ attendees arriving simultaneously
  • When you need to process multiple groups quickly at peak arrival times
  • When different staff members are responsible for checking in specific groups
  • When organizing check-ins across multiple physical locations
You must have Admin, Event Manager, or Event Scheduler permissions to configure group check-in settings and create check-in lists.

How to do it

    Log in to your Cadence account.
    Navigate to your event dashboard.
    Select "People" from the left sidebar menu.
    Click "Event Check-In" in the submenu.
    Ensure check-in lists are enabled by clicking the "Settings" tab and verifying "Enable Check-In Lists" is toggled on.
If the toggle is off, turn it on and click "Save" before proceeding.
    Return to the main check-in page by clicking the "Check-In" tab.
    Select the "Lists" tab at the top of the page.
    Create group-specific check-in lists by clicking the "+ New List" button.
    Name each list according to your group organization (e.g., "VIP Guests," "Team Alpha," "Exhibitors").
Clear, descriptive names help staff quickly identify which list to use for specific attendees.
    Add attendees to each list by clicking on the list and selecting "Add Attendees."
    Use filters to quickly find and select groups of attendees based on registration type, company, or custom fields.
For large groups, use the "Select All" option after filtering to add everyone at once.
    Assign specific staff members to each check-in list by clicking "Share List" and selecting the appropriate users.
    Set up multiple check-in stations, each dedicated to specific lists or groups.
Ensure each station has a device with the latest version of the Cadence app installed for optimal performance.
    Create clear signage directing attendees to their appropriate check-in station.
    Brief your staff on which groups they'll be handling and how to efficiently process check-ins.
    Monitor check-in progress in real-time by viewing the statistics at the top of the Event Check-In page.

Troubleshooting

If check-in lists aren't appearing on mobile devices, ensure staff are using the latest version of the Cadence app (v2.7.404+ for Android or v2.7.393+ for iOS) and have refreshed their event data.
