Appointment segmentation allows you to split a single appointment into multiple consecutive segments, each with its own organizer, internal attendees, objectives, and topics while maintaining one seamless invitation for customers. This feature is ideal for complex meetings that involve multiple teams or discussion topics but need to appear as a single cohesive meeting to external participants.
When to use
When coordinating multi-team meetings with the same customer
When different internal teams need to join only for specific portions of a meeting
When organizing meetings with distinct agenda sections requiring different participants
When optimizing staff schedules by having them attend only relevant segments
Before you start
You must have System Administrator, Event Manager, or Event Scheduler permissions to use appointment segmentation. This feature must be enabled for your event license type.
How to do it
Navigate to the Appointments section in your Cadence dashboard.
Click "New Appointment" or select an existing draft appointment.
Enter the basic appointment details including name, date, and time.
Toggle on the "Enable Segmentation" switch in the appointment form.
When segmentation is enabled, the total appointment duration will be automatically divided into equal segments initially.
Specify the number of segments (2-4) using the segment controls.
Adjust the duration of each segment as needed.
Segments must be consecutive with no gaps between them, and the total duration must match the overall appointment time.
Add customers to the appointment (they will see the entire appointment as one meeting).
For each segment, configure the following:
Segment name/label
Segment-specific organizer
Internal attendees for that segment
Segment-specific objectives and topics
Any custom fields for that segment
Configure shared fields that apply to the entire appointment:
Room/Location
Scheduler
Personal message
Resources
Toggle on "Send Invites" to notify all participants.
Click "Save" to create the segmented appointment.
Internal attendees will only receive calendar invites for the specific segments they're assigned to, while customers receive one invitation for the full appointment duration.
Troubleshooting
If you need to completely restructure segments after creation:
Use the "Reset Segments" option to start over with segment configuration
All segment-specific data will be cleared, but appointment-wide settings will be preserved
