Manage Appointment Requests
The Appointment Request feature in Cadence allows you to create structured forms for collecting meeting requests from attendees. Through the Appointments Menu › Settings section, you can configure request forms, set approval workflows, and manage how these requests convert into actual appointments, streamlining the scheduling process for both organizers and attendees.
When to use
When you want attendees to request meetings without setting specific times
When you need an approval process for appointment requests
When collecting specific information before scheduling appointments
When managing high volumes of meeting requests
Before you start
You must have System Administrator or Event Manager permissions to create and manage appointment request forms. The "Enable appointment request forms" option must be enabled in Appointments Settings.
How to do it
Navigate to your event dashboard in Cadence.
Click on "Appointments" in the left sidebar menu.
Select "Settings" from the dropdown menu.
Scroll to the "Appointment Request Forms" section.
Click "Create New Form" to set up a request form.
Enter a name and description for your request form.
Configure the form fields you want to include:
Appointment Name
Objectives
Topics
Custom fields
People (attendees)
Include clear instructions in the form description to help requesters understand what information they need to provide.
Set the approval workflow:
Automatic approval (requests convert directly to appointments)
Manual approval (requests require review before conversion)
Designate approvers who will receive and review submitted requests.
If using automatic approval, carefully consider which fields are required, as appointments will be created immediately upon submission.
Configure the "Make Attendees Required by Default" setting if you want all internal attendees to be automatically set as required.
Toggle "Enable Organizer" if you want requesters to select an organizer for the appointment.
Click "Save" to create your appointment request form.
Copy the form link to share with potential attendees.
Review incoming requests in the "Appointment Requests" section of the Appointments menu.
Approve or decline requests as they come in (if using manual approval).
When requests are approved, they automatically convert to proposed appointments with the "Ask Customer" option enabled by default.
Troubleshooting
If appointment requests aren't appearing:
Verify the form is active and properly shared with attendees
Check that approvers have the correct permissions to view and process requests
Ensure the "Enable appointment request forms" setting is turned on in Appointments Settings
