How to enable and manage Attendee Check-in

This document explains how to enable and manage attendee check-in for schedule items, allowing you to track attendance for both in-person and virtual sessions.  

Ways to Enable Attendee Check-in There are two main ways to enable attendee check-in: 
    During schedule import 
    Manually from the admin side 

 Enabling Check-in During Schedule Import 
  • Fill in the schedule details in the import file as usual. 
  • Navigate to column AB (Attendee Check-In) — located toward the right side of the file. 
  • For each schedule item you want to enable check-in for, enter “Yes” in this column. 
  • Once imported, these schedule items will have standard check-in settings automatically enabled. 
 Note: 
  • Enabling check-in via import only enables admin check-in (an organizing member must manually check in attendees). 
  • To enable self check-in (QR code or link), you must configure it manually in each schedule item after import. 
 Manually Enabling Check-in in the Admin Side 
  • Go to the Admin side and select the Schedule feature. 
  • Choose the schedule item you want to set up, and click on Options. 
  • Scroll to the bottom, find the Check-In Settings, click Customize settings, then click Enable Standard Attendee Check-In. 
 Once enabled, you’ll see additional check-in options: 
    Badge Scan Check-In – allows attendees to be checked in by scanning badges. 
    Signature Capture – requires attendees to sign on-screen at check-in. 
    Self Check-In – generates a universal link and QR code that attendees can use to check themselves in by scanning or clicking.

  • The platform generates a QR code and a universal link. 
  • Attendees scan the code or click the link. 
  • If not logged in, they’ll be prompted to sign in. 
  • A confirmation message will appear: “Well done! You’ve registered using self check-in—come on in!” 
  • Their name will automatically appear with a checkmark indicating successful check-in. 
 You can display the QR code: 
  • At the door of the session room. 
  • On-screen at the start of a virtual or hybrid session. 
  • In communications such as email reminders or calendar invites. 
This allows attendees to check in quickly and independently with no staff required.  How to Check in Attendees (front end) From the app or web: 
    Open the Schedule feature. 
    Select the relevant schedule item. 
    Click Options, then choose Check-In Attendees. 
    A pop-up will appear listing all registered attendees. 
    Use the dropdown next to each name to mark: 
  • Checked In – if they’re present. 
  • No Show – if they didn’t attend. 
  • Check-In – to undo check-in. 
 Status Indicators: 
  • Green Circle Green – Checked In 
  • Red Circle Red – No Show 
  • White Circle No Color – Not yet checked in
