How to set up multi-bookable rooms

Set Up Multi-Bookable Rooms

The Rooms menu in Cadence allows you to configure meeting spaces that can accommodate multiple appointments at the same time. Through the Rooms Menu › Settings section, you can enable double booking for specific rooms, allowing multiple appointments to be scheduled in the same room during overlapping time slots, which is particularly useful for large meeting spaces or virtual rooms.

When to use

  • When configuring large meeting spaces that can host multiple meetings simultaneously
  • When setting up virtual meeting rooms that don't have physical space limitations
  • When maximizing room utilization during high-demand periods
  • When organizing booth spaces that can accommodate multiple appointments

Before you start

You must have System Administrator or Event Manager permissions to configure multi-bookable rooms. Rooms must have Appointment Configuration enabled before double booking can be set up.

How to do it

    Log in to your Cadence Admin account.
    Navigate to your event dashboard.
    Click on "Event Setup" in the left sidebar menu.
    Select "Rooms" from the dropdown menu.
    Click on an existing room or create a new one using the "+" button.
Multi-booking works best for larger rooms or virtual spaces where multiple meetings can occur without disruption.
    Scroll down to the "Appointment Configuration" section.
    Toggle "Enable Appointment Configuration" to ON.
Rooms with Appointment Configurations enabled cannot be selected for schedule items. They will only appear in the appointment booking interface.
    Click "Add Date/Time Availability" to define when the room can be booked.
    Set the room's availability dates and times.
    Toggle "Allow Double Booking" to ON.
When this option is enabled, multiple appointments can be scheduled in this room at the same time.
    Choose whether to display a multi-booking indicator in the room name.
Adding "Multiple Room Bookings" to the room name helps users understand that the room can be booked by multiple parties simultaneously.
    Click "Save" to apply your multi-booking configuration.
    Verify that the room now shows a multi-booking indicator in the Room Availability view.

Troubleshooting

If appointments are not appearing in the Room Availability view after enabling multi-booking:
  • Check that the appointments fall within the room's configured availability dates and times
  • Verify that the room's visibility settings allow the appropriate users to see it
  • Ensure that the "Allow Double Booking" toggle is set to ON and the configuration was saved
