Setting appointment dates and times in Cadence allows you to create structured meetings with defined timeframes, ensuring all participants know exactly when to attend. Through the Appointments menu, you can schedule meetings with specific start and end times while managing room reservations and attendee availability.
When to use
When scheduling meetings with specific customers or colleagues
When you need to reserve meeting rooms for a particular time slot
When organizing time-sensitive discussions during an event
When you want to send calendar invitations with exact timing details
You must have System Administrator, Event Manager, or Event Scheduler permissions to create appointments with dates and times. Required fields are marked with an asterisk (*).
How to do it
Log in to your Cadence account.
Navigate to your event dashboard.
Click on "Appointments" in the left sidebar menu.
Select "New Appointment" or edit an existing appointment.
Enter a name for your appointment in the "Appointment Name" field.
Use descriptive appointment names that include the purpose or key attendees to make them easier to identify later.
Locate the date and time section in the appointment form.
Click on the date field to open the calendar picker.
Select your desired appointment date from the calendar.
Choose the start time using the time dropdown menu.
Times are displayed in the event's default timezone, but attendees will see the time converted to their local timezone.
Set the appointment duration using the duration dropdown.
The default duration is set in your event's appointment settings, but you can change it for individual appointments as needed.
Select a location for your appointment from the dropdown menu.
If you select a room that's already booked during your chosen time, a conflict warning will appear.
Add attendees by clicking the "+" icon in the People section.
Click "View Availability" to check if your selected time works for all attendees.
The availability view shows conflicts for all attendees, helping you find a time that works for everyone.
Adjust the date and time if needed based on availability.
Toggle on "Send Emails" to notify attendees about the appointment.
Click "Save" to create the appointment with your selected date and time.
Troubleshooting
If you cannot select a specific date or time:
Verify that the date falls within your event's active dates
Check if the room you selected has restricted availability hours
Ensure you have the correct permissions to schedule appointments
Confirm that the event license allows appointment scheduling
