How to add and check in guests

The Event Check-In feature in Cadence allows you to track attendance for both primary attendees and their guests. When guest registration is enabled for your event, you can add guests to attendees and check them in individually or together, helping you maintain accurate attendance records for all participants.

Before you start

You must have Admin, Event Manager, or Event Scheduler permissions to add and check in guests. The Guest Check-In feature must be enabled in your event settings.

How to do it

    Log in to your Cadence account.
    Navigate to your event dashboard.
    Select "People" from the left sidebar menu.
    Click "Event Check-In" in the submenu.
    Ensure guest check-in is enabled by clicking the "Settings" tab and verifying "Enable Guests" is toggled on.
If the toggle is off, turn it on and click "Save" before proceeding.
    Return to the main check-in page by clicking the "Check-In" tab.
    Locate the attendee you want to add guests for using the search function.
    Click on the attendee's name to open their profile.
    Select the "Guests" tab in the attendee profile.
    Click the "+ Add Guest" button.
    Enter the guest's first and last name in the fields provided.
Only first and last name are required for guests; they do not need email addresses or user accounts.
    Click "Save" to add the guest to the attendee's profile.
    Repeat steps 10-12 to add additional guests if needed.
    Return to the check-in list by clicking "Back to Check-In" or navigating to People → Event Check-In.
    Find the attendee with guests in the list.
    Click the check-in button next to the attendee's name.
    Review the check-in dialog that appears, showing the primary attendee and their guests.
If "Check-In Per Event Day" is enabled, you'll need to select which day you're checking in for.
    Select whether to check in just the primary attendee, specific guests, or everyone.
    Click "Confirm" to complete the check-in process.
Once checked in, attendees and guests will display a green "Checked In" indicator. This status cannot be automatically reverted and must be manually changed if needed.

Troubleshooting

If guest check-in options aren't appearing in the mobile app, ensure you're using the latest version of the Cadence app (v2.7.404 for Android or v2.7.393 for iOS) and try refreshing your event data.
