How to address situations when Event Schedulers need temporary admin access
The Events Team menu in Cadence allows you to manage who has administrative access to your event. Sometimes Event Schedulers may need temporary administrative privileges to perform specific tasks that require admin access. This article explains how to handle these situations while maintaining proper access control and security for your event.
When to use
When Event Schedulers need to perform one-time administrative tasks
When you need to grant temporary access during critical event periods
When troubleshooting issues that require admin permissions
When training Event Schedulers for potential promotion to administrative roles
You must have Admin or Event Manager permissions to modify Events Team settings.
How to do it
Log in to your Cadence Admin account.
Navigate to your event dashboard.
Click on "Event Setup" in the left sidebar menu.
Select "Events Team" from the submenu that appears.
Document the need for temporary admin access, including:
Specific tasks requiring admin access
Duration of temporary access needed
Justification for the access change
Temporarily promote the Event Scheduler to Event Manager by adding their email to the Event Manager field.
Remove their email from the Event Scheduler field to prevent confusion.
Click "Save" to apply your changes.
Once promoted to Event Manager, the user will have full access to all administrative functions. Be specific about what they should and should not modify.
Communicate clearly with the promoted user about:
Specific tasks they should perform
Time limit for their administrative access
Areas they should not modify
Schedule a time to revert the access change.
Monitor activity during the temporary access period.
Consider shadowing the temporarily promoted user for sensitive administrative tasks to provide guidance and prevent mistakes.
When the need has ended, remove the user from the Event Manager field.
Add them back to the Event Scheduler field if they should retain that access.
Click "Save" to apply your changes.
Document what was accomplished during the temporary access period.
Troubleshooting
If the temporarily promoted user makes unintended changes:
Review the activity logs to identify all changes made
Revert any problematic changes immediately
Consider shortening the temporary access period
Provide additional training before granting temporary access again
