How to enable or disable appointment scheduling for rooms

Enable or Disable Appointment Scheduling for Rooms

The Rooms menu in Cadence allows you to control which rooms are available for appointment scheduling. Through the Rooms Menu › Settings section, you can enable or disable appointment configuration for each room, determining whether it can be booked for appointments or used exclusively for schedule items.

When to use

  • When designating specific rooms for appointment booking
  • When reserving rooms exclusively for schedule items
  • When converting a schedule-only room to allow appointment booking
  • When managing room availability across different event functions

Before you start

You must have System Administrator or Event Manager permissions to modify room appointment settings. Rooms must be created before appointment configuration can be enabled or disabled.

How to do it

    Log in to your Cadence Admin account.
    Navigate to your event dashboard.
    Click on "Event Setup" in the left sidebar menu.
    Select "Rooms" from the dropdown menu.
    Click on an existing room or create a new one using the "+" button.
    Scroll down to the "Appointment Configuration" section.
    Toggle "Enable Appointment Configuration" to ON to make the room available for appointments.
Rooms with Appointment Configurations enabled cannot be selected for schedule items. They will only appear in the appointment booking interface.
    Click "Add Date/Time Availability" if enabling appointments to define when the room can be booked.
    Set the room's availability dates and times.
When you update the start date, the end date will automatically update to match. Adjust the end date separately if needed.
    Toggle "Enable Appointment Configuration" to OFF if you want the room to be used exclusively for schedule items.
When appointment configuration is disabled, any existing appointment availability settings will be preserved but inactive until re-enabled.
    Click "Save" to apply your changes.
    Return to the Rooms list to verify your room now appears with the correct appointment status.

Troubleshooting

If you cannot enable appointment configuration:
  • Verify you have the correct permissions for the event
  • Check if the room is already being used in schedule items
  • Ensure your event license includes the Appointments feature
