How to merge appointments

How to Merge Appointments

The merge appointments feature allows you to combine two separate appointments into one when multiple team members have scheduled meetings with the same customer. This streamlines your event schedule, prevents double-booking customers, and maintains a complete record of all meeting details including attendees, objectives, topics, and custom fields.

When to use

  • When different team members have scheduled separate meetings with the same customer
  • When you discover duplicate appointments during event planning
  • When customers request to consolidate multiple meetings into a single session
  • When you need to combine meeting objectives from different departments
You must have System Administrator, Event Manager, or Event Scheduler permissions to merge appointments.

How to do it

    Navigate to the Appointments section in your event dashboard.
    Select the appointment you want to merge into another appointment.
    Click the "Options" button in the appointment details view.
    Select "Merge Appointment" from the dropdown menu.
    Search for the target appointment using the customer name or appointment title.
    Review the preview of both appointments showing organizer, date/time, and status.
    Choose which appointment organizer should remain as the organizer after merging.
The organizer you don't select will automatically be added as an attendee to the merged appointment.
    Select which elements to include in the merged appointment:
  • Add attendees (selected by default)
  • Add objectives (selected by default)
  • Add topics (selected by default)
  • Add location
    Choose how to handle custom fields by selecting:
  • For multi-select fields: Merging, Target, or Both (Both is default)
  • For single-select fields: Merging or Target (Target is default)
The appointment being merged will be marked as "Canceled" and its title will be prefixed with "Merged" after completion.
    Click "Merge" to complete the process.

Troubleshooting

If you receive error message 517 when attempting to merge appointments, ensure both appointments have an organizer assigned. You can temporarily assign an organizer, complete the merge, and then update if needed.
