How to handle capacity management for schedule items
Handle Capacity Management for Schedule Items
The Registration Menu in Cadence allows you to effectively manage capacity for schedule items during the event registration process. Through the Registration Menu › Schedule section, you can configure how attendees select sessions with limited capacity, set up waitlists, and ensure proper distribution of attendees across your event activities to prevent overcrowding and optimize resource allocation.
When to use
When managing events with limited-capacity sessions
When you need to prevent overbooking of popular sessions
When balancing attendance across multiple concurrent sessions
When implementing waitlists for high-demand activities
You must have System Administrator or Event Manager permissions to configure capacity settings for schedule items.
How to do it
Log in to your Cadence Admin account.
Navigate to your event dashboard.
Click on "People" in the left sidebar menu.
Select "Registration" from the submenu that appears.
Click on the "Schedule" tab at the top of the page.
Toggle "Allow Schedule Selection During Event Registration" to enable this feature.
Disabling this setting will remove the schedule selection option from your event's registration process, including capacity management features.
Navigate to "Schedule" in the left sidebar menu.
Select the schedule item you want to manage capacity for.
Click on the "Options" tab within the schedule item settings.
Toggle "Enable Registration & Waitlist" to ON if not already enabled.
Enter the maximum number of attendees allowed in the "Attendee Capacity" field.
Consider room size, staffing, and resource availability when setting capacity limits.
Toggle "Enable Waitlist" to ON if you want to capture additional registrations after capacity is reached.
Click "Save" at the bottom of the page to apply your changes.
Repeat steps 8-13 for each schedule item that requires capacity management.
Return to the Registration › Schedule section to verify that your capacity settings align with any minimum or maximum selection requirements.
When a schedule item reaches capacity, it will display as "Full" during registration with an option to join the waitlist if enabled.
Troubleshooting
If attendees report being unable to register for schedule items despite available capacity:
Verify that the schedule items have the correct visibility settings for the attendee's group
Check that the maximum selection limit in Registration › Schedule hasn't been reached
Confirm that the schedule item's registration is enabled and not closed by date/time settings
