How to set calendar sync date ranges for schedule items

Set Calendar Sync Date Ranges for Schedule Items

The Schedule Settings page in Cadence allows you to configure date ranges that determine which schedule items will sync to attendees' calendars. By setting appropriate start and end dates in the Schedule Menu › Settings section, you can ensure that only relevant schedule items within your specified timeframe will be included when attendees subscribe to your event calendar.

When to use

  • When setting up calendar sync for a new event
  • When updating date ranges for an existing event's calendar sync
  • When troubleshooting missing schedule items in calendar subscriptions
  • When planning multi-year events with specific calendar sync periods

Before you start

You must have System Administrator or Event Manager permissions to modify calendar sync date ranges. Changes to these settings will affect all users who subscribe to the event calendar.

How to do it

    Log in to your Cadence Admin account.
    Navigate to your event dashboard.
    Click on "Schedule" in the left sidebar menu.
    Select "Settings" from the submenu options.
    Scroll down to the Calendar Sync section.
    Locate the "Start Date" field.
    Enter the earliest date from which schedule items should sync to calendars.
Set the start date a few days before your event begins to include any pre-event activities.
    Find the "End Date" field.
    Enter the latest date through which schedule items should sync to calendars.
If you set an end date that's too early, attendees won't see later schedule items in their calendar subscriptions.
    Review your date selections to ensure they encompass all relevant schedule items.
    Click "Save" at the bottom of the page to apply your changes.
The button will briefly change to "Saved" to confirm your settings were applied successfully.

Troubleshooting

If schedule items aren't appearing in attendees' calendars after subscribing:
  • Verify that the items fall within the calendar sync date range you've configured
  • Check that attendees have properly subscribed to the calendar using the current subscription link
  • Confirm that the schedule items are published and visible to the attendee's user role
